We export and analyse all data from the old CRM. Inventory: contacts, accounts, deals, activities, notes, files, custom fields, relationships.

Field mapping

We create a field map: old CRM → new CRM. We identify fields without a counterpart, define data transformations, plan custom fields in the target system.

Cleaning & deduplication

We remove duplicates, standardise formats (phones, addresses, company names), fill missing data. You migrate a clean database, not chaos.

Test migration (staging)

We migrate 10% of data to a test environment. We validate every field, every relationship, every activity. We identify issues before they touch production.

Production migration

Full migration in a time window (weekend or overnight). Old CRM remains in read-only mode for 14 days. New system is ready to work.

CRM migration questions

Will we lose data during migration?
No, if it's properly planned. Before every migration we write a validation script, run a test migration, and compare records. The old CRM runs in read-only mode for 14 days after migration as a backup.
How long does migration take?
Depends on record count and system complexity: Excel/simple CRM → 1–2 weeks. Pipedrive/Zoho → HubSpot: 2–4 weeks. Salesforce ↔ HubSpot: 4–8 weeks. 500k+ records migration: 8–16 weeks.
What about historical data and activities?
We migrate everything available via API or export: notes, tasks, calls, meetings, emails (if the CRM stores them). Activity history is critical for business continuity and we aim to preserve 100%.
Can we migrate data from multiple sources at once?
Yes — we handle multi-source migrations: e.g. part of the database is in Salesforce, part in Excel, part in a legacy system. We merge, deduplicate, and import as one cohesive database into the new CRM.
What happens if the migration goes wrong?
We have a prepared rollback plan: reverting to the old CRM takes up to 2 hours. The old system runs in read-only mode during and after migration, so data is never at risk of loss.
